TERMS AND CONDITIONS OF SALE – REUSE ECONOMY EXPO 2026
DATE AND DURATION - Article 1
The organizer sets the dates and location of the event, the prices of stands and ancillary services, entrance fees and the closing date for registrations. The organizer determines the categories of exhibitors, and the nomenclature of activities presented in the reusable packaging or refill distribution sector.
In the event of force majeure cases, unforeseeable circumstances or economic reasons (strikes, price rises, bad weather, social or health crises, etc.), the dates and venue may be changed. The organizer is exonerated from all liability for any prejudice (including disturbance of use and any commercial prejudice) which may be suffered in connection with the event by exhibitors or non-exhibiting purchasers (as defined in article 2.8 below), for any reason whatsoever and in particular for modification of dates and venues, delay in opening, cancellation or premature stopping of the event, closure or destruction of stands, fire and any kind of disaster, total or partial destruction of installations and premises. The exhibitor or non-exhibiting buyer assumes the risks associated with any failure to hold the event, and particularly the sole responsibility for any expenses incurred in anticipation of the event.
REGISTRATION - ADMISSION - CANCELLATION - Article 2
2.1 Registrations are open to all companies offering goods or services related to reuse in the exhibition sectors of the fair and bulk sales.
The "Members" offer is reserved for members of Réseau Vrac et Réemploi association whose membership is up to date before and during the fair.
The "Non-Members" offer is reserved for companies that are not members of the association.
For "Partners" (major, key, or engaged) and "Eco-Organization Partners" offers, registrations are open to Partners, Eco-Organizations, and their member companies under the conditions specified in the offers. In this case, these Terms and Conditions apply to such companies, as well as to Partners and Eco-Organizations, who are considered "exhibitors" on behalf of their members.
Any company wishing to exhibit must submit a registration request to the organizer via the online form. The submission date (step 2 of online registration) is used to determine the applicable pricing.
In the case of the “Partners” and “Eco-Organization Partners” offers, the registration of Partners and Eco-Organizations via the online form is carried out by the organizer.
2.2 After validation of the online registration by the organizer, the exhibitor gains access to their online space where they must accept these General Terms and Conditions of Sale. This step constitutes the validation of the participation contract, resulting in the exhibitor’s firm and irrevocable commitment to pay the full price of the stand rental and any additional services ordered.
In the case of the “Partners” or “Eco-Organization Partners” offers, the validation of the participation contract for said Partners and their member(s) follows a specific process described in each offer. The Partners and Eco-Organizations undertake to comply with the commitments set out in said offer, both on their own behalf and on behalf of their member(s).
Once the participation contract has been validated, no change may be requested by the company from the organizer, regarding the offer subscribed.
Except for co-exhibition cases declared and accepted by the organizer, only one space will be granted per company.
Validated participation contracts are considered by the organizer by categories of activity, in order of arrival, and within the limit of the available spaces in each area.
2.3 The organizer reserves the right to reject in whole or in part, either provisionally or definitively, any application or participation contract which does not meet the conditions required by the stipulations of the participation contract. Rejection decisions do not have to be justified.
2.4 Reasons for rejection, whether definitive or provisional, may include failure to pay the membership fee to the Réseau Vrac et Réemploi association, lack of space for the category of activity represented or the service concerned, failure to provide the payments or guarantees required by the organizer, failure to comply with these general terms and conditions, or the exhibitor’s suspension of payments.
2.5 The exhibitor must inform the organizer of any factor or event that has occurred or come to light since its application for registration, and which may justify a re-examination of its application.
2.6 If the application is sent to the organizer no later than 2 (two) months prior to the date of the Trade Fair, the organizer will send the exhibitor a deposit invoice corresponding to 50% of the total amount excluding VAT of the contract. The invoice for the balance will be sent to the exhibitor during the 2 (two) months preceding the date of the Trade Fair, after validation of the allocation on the floor plan.
If the registration request is sent to the organizer during the 2 (two) months preceding the date of the Trade Fair, the organizer will send the exhibitor an invoice corresponding to the total amount excluding VAT of the contract, after validation of the allocation on the floor plan.
On receipt of the invoice(s), the exhibitor sends payment in accordance with the terms and conditions set out in article 6.2. Failure to pay an invoice by the due date constitutes grounds for rejection of the participation contract by the organizer.
2.7 In the event of non-occupation of the stand for any reason whatsoever, the exhibitor shall be deemed to have resigned to take its stand, and the sums paid to the organizer shall not be reimbursed.
In the event of cancellation by the exhibitor up to two (2) months prior to the Trade Fair, the organizer retains the amount of the deposit paid by the exhibitor.
In the event of cancellation by the exhibitor less than two (2) months prior to the Trade Fair, the organizer retains, as compensation, all sums due by the exhibitor.
In the case of the “Partners” or “Eco-Organization Partners” offers, no cancellation by a member company may be made to the organizer, nor shall it give rise to any refund from the latter.
No reimbursement of sums paid by the exhibitor will be due in the event of cancellation, postponement, change of general location of the Trade Fair or early closure of the doors, due to force majeure cases, unforeseeable circumstances or economic reasons (strikes, price rises, bad weather, social or health crises, etc.) not attributable to the organizer.
2.8 Certain ancillary services may also be offered by the organizer to exhibitors and non-exhibiting buyers (e.g. masterclasses, conferences, etc.). In such cases, the organizer will send a quotation to the non-exhibiting buyer. Once the quotation has been signed and returned to the organizer, the latter sends an invoice corresponding to the total amount due for ancillary services. On receipt of the invoice(s), the non-exhibiting buyer sends payment in accordance with article 6.2.
ALLOCATION OF SPOTS - Article 3
3.1 The organizer draws up the floor plan of the Trade Fair and allocates the stands according to the categories of activities represented, the nature of the products exhibited, the date of validation of the participation contract, the date of receipt of payment of the invoice(s) issued and the technical requirements expressed by the exhibitors in the contract. Requests of specific location wishes (proximity or distance from other companies) are possible, and the organizer will do its best to take them into consideration but cannot commit to respecting them. For any location that does not satisfy the exhibitor, the organizer will propose, as far as it is able, a maximum of 2 other choices.
3.2 Given the constraints imposed by the placement of all exhibitors, validation of the participation contract by the exhibitor confers no right to the choice of a specific location.
3.3 In the interests of the event, the organizer reserves the right to modify the surface areas requested by the exhibitor and the corresponding invoicing within a limit of 20%, without the exhibitor being entitled to request cancellation of its participation contract.
INSTALLATION AND FURNITURE - Article 4
4.1 No later than 2 (two) months prior to the date of the Trade Fair, the organizer shall send the exhibitor the “Technical Guide” which, among other things, determines the time allowed for the exhibitor to set up its stand and store the objects needed during the event.
4.2 Exhibitors or their subcontractors must have completed their installation by the dates and times set by the organizer.
4.3 The installation of stands must not, under any circumstances, damage or modify the permanent installations of the exhibition site or the furniture made available to exhibitors and must not affect the convenience or safety of other exhibitors and visitors.
4.4 Exhibitors are responsible for setting up their own stands. The organizer reserves the right to refuse to set up or present a stand that does not meet the general criteria of the Trade Fair.
4.5 Exhibitors or their subcontractors must comply throughout the event with the safety measures imposed by the public authorities or taken by the organizer.
4.6 The organizer declines all responsibility for installations carried out by exhibitors or their subcontractors. Exhibitors or their subcontractors must leave the stand and furniture made available to them in the same condition in which they find them. Any loss, theft or deterioration of the premises and installations in which the Trade Fair is held, or of the furniture made available to exhibitors, caused by an exhibitor or by its installations, equipment or goods, shall be borne by the exhibitor.
OCCUPANCY AND CO-EXHIBITION - Article 5
5.1 It is strictly forbidden to assign, sublet or exchange, whether free of charge or in return for payment, all or part of a stand or site.
5.2 The stand must be always occupied, both during opening hours for exhibitors (including assembly, delivery and dismantling) and during official opening hours for visitors.
5.3 Only certain stands are authorized to host a co-exhibitor in accordance with the rules set out in the participation contract. The co-exhibitor may be a member of Réseau Vrac et Réemploi whose membership is up to date on the day of the fair, or a non-member. Food products and non-food products (cosmetics or detergents) may be subject to co-exhibition, if hygiene best practice regulations are properly observed.
The co-exhibitor must complete an online registration form and pay the registration fees for the fair. They are subject to the rights and obligations of this contract.
PRICE AND PAYMENT - Article 6
6.1 The price of stands and ancillary services is set by the organizer and may be revised by the latter, in particular in the event of a change in the components of the stand.
6.2 The amount(s) invoiced is (are) due within 15 (fifteen) days of the date of issue of the invoice. The exhibitor or non-exhibiting buyer undertakes to pay the amounts due by cheque or bank transfer within the stipulated period. Any sum due to the organizer and not paid within the allotted time shall give rise to a penalty to the benefit of the organizer, ipso jure, without the need for formal notice, equal to three times the legal interest rate in force. In application of article L. 441-6 of the French Commercial Code, any delay in payment shall also render the debtor liable to pay the legal collection indemnity, without prejudice to any other recourse that the organizer may be entitled to exercise in compensation for damage caused by non-compliance with these terms and conditions of sale. In particular, the organizer reserves the right to terminate the participation contract of the defaulting exhibitor, take back the free disposal of the stand, and/or terminate the contract for the purchase of ancillary services, without prejudice to any action for damages caused by the default of the exhibitor or non-exhibiting buyer.
PRODUCTS AND SERVICES - Article 7
7.1 Each exhibitor is responsible for transporting and receiving its own products into the exhibition zone. They are required to comply with the organizer’s instructions concerning the entry and exit of goods and products.
7.2 Exhibitors undertake to present only products that comply with the nomenclature. The products and services presented must comply with current standards and regulations, particularly those concerning safety and intellectual property.
7.3 Sales involving immediate and on-site transactions are prohibited.
INDUSTRIAL PROPERTY, ETHICS AND MISCELLANEOUS RIGHTS - Article 8
8.1 The exhibitor or non-exhibiting buyer is responsible for ensuring the intellectual and industrial protection of the materials, products and services it presents or exhibits (patents, trademarks, models, etc.), in accordance with the legal and regulatory provisions in force. The organizer is not liable in this respect, particularly in the event of a dispute with another exhibitor or a visitor.
8.2 In the absence of an agreement between the organizer and the French Society of Authors, Composers and Publishers of Music (SACEM), exhibitors or non-exhibiting buyers must deal directly with SACEM if they make use of music within the event, even for simple demonstrations of sound equipment. The organizer is not liable in this respect.
8.3 The exhibitor or non-exhibiting buyer shall only present products and/or services that comply with the values of the refill and reuse sectors: substitution of single-use by reusable packaging or containers.
8.4. The exhibitor undertakes to use reusable packaging (cups, water bottles, crockery, cutlery, etc.) and stand protection elements at the event, and to avoid all disposable packaging waste. The use of single-use packaging is to be avoided.
SET-UP AND TAKE-DOWN - Article 9
9.1 The organizer determines the schedule for setting up and dismantling the stand.
Stands will be made available to exhibitors and dismantled in accordance with the instructions given in the Technical Guide. Stands must be kept in an impeccable condition throughout the event.
9.2 Failure by an exhibitor to comply with the deadline for occupying stands, entitles the organizer to claim payment of late penalties and damages.
9.3 The exhibitor must leave the stands and furniture made available to them in the condition in which they found them. Any damage caused by their installations or goods, either to the equipment, the building or the floor, will be assessed by the organizer and charged to the exhibitor.
9.4 It is forbidden to dig up the ground, to notch or to damage in any way whatsoever the partitions, floors or ceilings and all material supplied by the organizer. The use of stand walls, posts or floors to support weights or mechanical loads that are able to damage the structure of the venue is strictly forbidden; any infringement of this rule will render the exhibitor fully liable for any damage, accident or inconvenience caused to other exhibitors or visitors.
SECURITY AND EMPLOYEES - Article 10
10.1 The exhibitor undertakes to comply with safety measures imposed by administrative or legal authorities, as well as any safety measures taken by the organizer.
10.2 Arrangements made by the exhibitor are its own responsibility. They must comply with the rules set out in the Technical Guide supplied to the exhibitor.
10.3 During set-up, dismantling and the running of the event, exhibitors undertake to employ only duly registered persons and under the conditions laid down by the laws and regulations in force about working conditions. They will impose the same constraints on their subcontractors. Inspections, at the sole initiative of the Labour Inspectorate, may be carried out during the preparation and running of the event. The organizer declines all responsibility.
COMMUNICATION - Article 11
11.1 It is forbidden to place advertising panels or signs outside stands at points other than those reserved for this purpose. In the event of infringement, the organizer will remove, at the expense and risk of the exhibitor or non-exhibiting buyer, and without prior notice, any elements affixed in disregard of the present terms and conditions of sale.
11.2 The organizer is the sole owner of the editorial, publication and distribution rights, whether paid or unpaid, to the event catalog. It may grant all or part of these rights, as well as the advertising included in this catalog. The information required for the catalog will be supplied by exhibitors under their own responsibility and within the deadline set by the organizer. The organizer declines all responsibility for any involuntary errors or omissions that may occur.
11.3 Circulars, brochures, printed catalogs, etc. may only be distributed by exhibitors at their stand. Any propaganda, distribution of leaflets or brochures is forbidden in the common or public areas of the event. The same applies to outside areas close to the event.
11.4 Any light or sound advertising, and any animations, Trade Fairs or demonstrations that may cause crowds in the aisles must be subject to prior approval by the organizer who may revoke the authorization granted, in the event of traffic or event disruption.
11.5 The loud advertisement and solicitation, in whatever manner, are strictly prohibited. Exhibitors must not obstruct or encroach on the aisles, unless they have the prior written permission of the organizer.
11.6 Exhibitors or non-exhibitor buyers undertake to present only products, services or materials that comply with French and/or European regulations, and not to make any advertising that could be misleading or constitute unfair competition or an act of infringement. They assume full responsibility for this vis-à-vis third parties. The organizer’s liability cannot in any way be incurred by their actions.
11.7 All machines and/or products displayed at the stand shall be fitted with a safety device. Exhibitions must always be free of charge for visitors.
11.8 The logo of the Trade Fair is owned by the organizer. Any use by a third party is prohibited unless prior express permission has been given.
11.9 Films, photo and video reports made at the Trade Fair, whether for commercial or non-commercial purposes, must not damage the reputation or image of the Trade Fair, the organizer or the industry as a whole.
LOUNGE ACCESS – Article 12
12.1 Badges and, where applicable, invitations to attend the event are issued to exhibitors or non-exhibitor buyers under conditions determined by the organizer.
12.2 The distribution, reproduction and/or sale of the admission fees issued by the organizer is strictly prohibited in the grounds and surroundings of the Trade Fair under penalty of legal action.
12.3 The event is accessible to disabled persons and people with reduced mobility. Any development that changes the existing accessibility conditions for disabled persons with reduced mobility must be subject to an opinion of the Accessibility Sub-Commission.
INSURANCE AND LIABILITY - Article 13
13.1 The organizer has taken out insurance against the financial consequences of its civil liability as an organizer.
13.2 The exhibitor is obliged to take out, at its own expense, all insurance covering the risks incurred by itself and its staff or made to third parties. The exhibitor must justify its coverage by showing an insurance certificate.
In the case of the “Partners” or “Eco-Organization Partners” offers, the Partners and Eco-Organizations are considered as “exhibitors” within the meaning of these General Terms and Conditions of Sale and undertake to ensure that their member company(ies) comply with this provision in particular.
The organizer is considered free of all liability, especially in case of loss, theft or damage.
The exhibitor waives all recourse against the organizer, the owner of the event site and their insurers for any bodily damage, material and immaterial that is not directly caused by these persons.
MISCELLANEOUS – Article 14
14.1 Any breach of the provisions of the participation contract, these terms and conditions of sale and/or the specifications of the Technical Guide issued by the organizer may cause, without prejudice to any other legal action, the closure of the exhibitor’s stand with the assistance of the public authorities, if necessary, .
14.2 This is particularly the case for lack of insurance, non-conformity of the stand layout, non-compliance with safety rules, non-occupancy of the stand, etc.
The exhibitor shall then pay compensation for damages in compensation of moral or material damage caused to other exhibitors, visitors, the organizer and/or the owner of the premises.
14.3 In the event of a dispute between the parties, they shall seek, before any litigation, an amicable agreement within the framework of mediation and communicate to each other all the necessary information for this purpose. In the absence of an amicable agreement, all disputes or litigation are the exclusive jurisdiction of the courts of the city of Paris.
French legislation is the only applicable law.
RIGHT OF ACCESS, RECTIFICATION AND OPPOSITION – Article 15
The organizer reserves the right to collect data on the exhibitor / non-exhibitor buyer / partner member company in the case of the “Partners” and “Eco-Organization Partners” offers, notably through forms. The collection of data by the organizer is necessary to process the user’s requests (registration, listing on the website and in the catalogue). In accordance with the applicable European regulations, exhibitors / non-exhibitor buyers / partners / partner member companies, etc. have the following rights:
– Right of access and rectification, updating, completeness of the data of the Users right to lock or delete personal data of the users, when they are inaccurate, incomplete, equivocal, outdated, or whose collection, Use, disclosure or storage is prohibited.
– Right to withdraw consent at any time.
– Right to restriction of processing of users’ data.
– Right to object to the processing of users’ data.
– Right to portability of the data that users have provided, when these data are subject to automated processing based on their consent or a contract.
– Right to determine the fate of users’ data after their death.
